This Privacy Policy explains how FALQO collects and uses personal data through falqo.eu, including the Contact experience and the FALQO Mini Audit.

2. Scope

This policy applies to personal data collected when you browse the public website, contact FALQO, request or complete a Mini Audit, verify your email address, receive your audit communications, or opt in to receive FALQO news and updates.

3. Personal data we collect

Contact requests

Depending on the information you choose to provide, the Contact form may collect your first and last name, business email address, phone number, role, organisation name, message, uploaded attachments, consent choices and submission date. Where additional business-context fields are displayed, those responses may also be stored with the request.

Mini Audit

The Mini Audit may collect your name, business email address, company, sector, reason for taking the audit, answers to the scored questionnaire, optional comments, score, grade, angle scores, audit status, email-verification status and timestamps required to provide and resume the service.

Newsletter choices

If you expressly opt in to receive FALQO news, insights or updates, FALQO records the relevant contact details and proof of your newsletter choice. Newsletter consent is separate from the consent or processing required to answer a contact request or deliver the Mini Audit.

Technical and security data

The website and its hosting environment may process limited technical information such as IP address, request timestamps, browser or device information, server logs, security events and session identifiers where necessary to operate, secure and troubleshoot the service.

4. Why we use personal data and our legal bases

Responding to requests

FALQO uses contact information to read, route and respond to enquiries, preserve a request if email delivery temporarily fails, and follow up on a conversation. Depending on the context, this is based on steps taken at your request before entering into a contract and/or FALQO’s legitimate interest in responding to professional enquiries.

Providing the Mini Audit

FALQO uses Mini Audit data to verify your email address, save progress, calculate your score, identify priority communication angles, prepare the audit output, allow the FALQO team to review it and deliver the result you requested. This processing is necessary to provide the requested service and, where applicable, to take pre-contractual steps at your request.

Newsletter and marketing communications

Newsletter communications are based on your consent. You can withdraw that consent at any time without affecting the lawfulness of processing carried out before withdrawal.

Security and legal obligations

FALQO may process technical and administrative data where necessary for website security, fraud prevention, incident investigation, evidence management and compliance with legal obligations.

5. Mini Audit scoring and human review

The Mini Audit applies predefined scoring rules to questionnaire answers in order to calculate a score and communication profile. This output is intended as a diagnostic communication tool; it does not produce a legal or similarly significant decision about you.

FALQO’s workflow includes human review before the final audit is sent. The team may review or adjust the audit output before delivery.

6. Retention periods

Email verification and incomplete Mini Audits

Email-verification links are designed to expire after 24 hours. Registration details and initial answers may be retained for up to 48 hours to allow an interrupted Mini Audit to be resumed.

Completed Mini Audits

Completed Mini Audit data and generated audit records are retained for up to 90 days for delivery, review, support and re-access, unless earlier deletion is requested or a longer period is required to establish, exercise or defend legal claims or comply with a legal obligation.

Contact and prospect records

Contact and prospect data used for business follow-up may be retained for up to three years from collection or the last meaningful contact initiated by the prospect, unless a shorter period applies or continued retention is required for legal or evidential reasons.

Newsletter choices and objections

Newsletter subscription data is retained until you unsubscribe or withdraw consent. Information strictly necessary to demonstrate consent or honour an objection may be retained for an appropriate evidential period.

Security logs

Technical and security logs are retained only for a period proportionate to operational, security and incident-investigation needs, subject to any legal retention requirement.

7. Who can receive your data

Personal data is accessible only to authorised FALQO personnel and service providers that need it for the relevant purpose. This may include hosting, infrastructure, security, email-delivery and technical-support providers acting under appropriate contractual and confidentiality obligations.

FALQO does not sell personal data to advertisers.

8. Hosting in Switzerland and international transfers

The website is hosted by Infomaniak Network SA in Switzerland. Infomaniak states that its data centres are located in Switzerland and that it operates under Swiss data-protection law while supporting GDPR compliance. Learn more in the Infomaniak Trust Center.

Switzerland is recognised by the European Commission as providing an adequate level of protection for personal data. Information about EU adequacy decisions is available on the European Commission website.

9. Your data-protection rights

Subject to the conditions of the GDPR, you may have the right to:

  • access personal data concerning you;
  • request correction of inaccurate or incomplete data;
  • request erasure of data in applicable circumstances;
  • request restriction of processing;
  • object to processing based on legitimate interests;
  • receive certain data in a portable format;
  • withdraw consent at any time where processing is based on consent; and
  • lodge a complaint with a competent supervisory authority.

In France, the supervisory authority is the Commission Nationale de l’Informatique et des Libertés (CNIL).

10. Security

FALQO applies reasonable technical and organisational measures intended to protect personal data against unauthorised access, alteration, loss or disclosure. The hosting provider, Infomaniak, publishes information about its security framework and ISO 27001:2022 certification on its certifications page. This certification applies to Infomaniak; it does not mean that FALQO itself is ISO 27001 certified.
